HR Compliance Review in Kenya: What a Practical Review Should Cover

An HR compliance review is most useful when it looks beyond whether a company has a contract template. It should examine how employment documents, records and day-to-day people practices work together, then turn gaps into a realistic action plan. For Kenyan employers, that means starting with the applicable labour framework and reviewing the evidence the business actually keeps.

Start with employment documents, not assumptions

Review the documents employees actually receive and sign, not only the versions stored in a shared folder. Compare contracts, offer letters, job descriptions and variations against current practice. A useful review also checks whether different employee groups are being handled consistently.

The aim is to find mismatches early: terms that no longer reflect how the role works, missing written changes, inconsistent probation wording, unclear working arrangements or documents that managers use differently from HR.

Review the employment record trail

The practical questions are straightforward: who can access which records, why the information is being collected, where it is stored, how long it is retained and whether private information is being shared more widely than necessary.

End with a prioritised action plan

A useful review should not end with a list of problems. Separate urgent legal or employee-relations risks from documentation improvements and longer-term process maturity. Give each action an owner, target date and clear evidence of completion.
